The sub is set up as an invoice contact
Your team adds invoice contacts to a subcontract or purchase order. In Procore, an invoice contact is always an employee of that commitment’s contract company.
When a sub’s invoice contact enters a pay app in Procore, nobody on your team typed those numbers. Here is what to compare against the PDF they attached, and how Denize Invoice Check does it on every invoice before you approve.

Compare what the sub entered in Procore with the PDF they attached, before anyone approves it. Check the invoice number, date, vendor, subcontract or PO, billing period, the amount billed this period on each Schedule of Values line, the arithmetic and total, and whether it repeats an earlier invoice. Denize Invoice Check runs these checks each time the invoice is created or updated, and an accountant decides what happens next.
General contractors whose subcontractors and vendors bill them inside Procore. Procore calls the person who does this an invoice contact. They can accept or decline an Invite to Bill, submit invoices, update a Subcontractor Schedule of Values and revise and resubmit invoices you return (Procore’s invoice contact FAQ, as of October 2026).
If your own AP team enters the supplier invoices you receive by email, that is a different job. Denize for Procore reads those invoices and prepares the Direct Cost or commitment invoice for your team to review and submit.
Pay apps on subcontracts and bills on purchase orders reach Procore the same way: the vendor types them in.
Your team adds invoice contacts to a subcontract or purchase order. In Procore, an invoice contact is always an employee of that commitment’s contract company.
An invoice contact can accept an Invite to Bill, but Procore says the invite isn’t required: there are several ways for them to create an invoice. They bill against the current open billing period, before its due date.
On an amount-based Schedule of Values they enter what they’re billing this period on each line, plus any materials stored. Your setup may require a lien waiver or a signed PDF of the invoice as an attachment.
Once sent, the sub can’t edit it unless your invoice administrator changes its status to Revise & Resubmit. Everything on it was typed by the sub, not by your team.
Sources: Procore’s invoice contact FAQ, Procore’s Invite to Bill FAQ and Procore’s steps for invoice contacts, as of October 2026. Procore allows only one open billing period at a time (Procore’s billing period guide, as of October 2026).
These are the same checks Invoice Check runs. Do them before the invoice moves to approval, not after it’s paid.
On a subcontractor pay app, the summary page and the continuation sheet often follow the AIA G702S and G703S forms. AIA describes G702S as the form that lets subcontractors apply for payment, and G703S as the sheet that breaks the contract sum into portions of work (AIA’s G702S instructions, as of October 2026). Procore’s Subcontractor Schedule of Values gives a similar line-by-line breakdown inside Procore (Procore’s Subcontractor SOV FAQ, as of October 2026).
When you return an invoice with Revise & Resubmit, the sub fixes it and sends it again (Procore’s invoice status list, as of October 2026). That is the same invoice, and it should replace the earlier version. A duplicate is a second invoice for work already billed.
The unique-number rule is in Procore’s steps for invoice contacts, as of October 2026. Invoice Check looks for duplicates while recognizing resubmissions, so a corrected invoice isn’t flagged as a copy of itself.
Procore keeps one billing period open at a time, only an invoice administrator can edit billing periods, and Procore warns never to delete a billing period once an invoice is linked to it (Procore’s billing period guide, as of October 2026).
So when the period dates on the PDF don’t match the period the invoice was entered in, don’t approve it now and plan to fix it later. Return it with Revise & Resubmit and a note saying which period the work belongs to. Invoice Check flags this case by checking whether the invoice belongs in the billing period it was entered in.
Retainage and stored materials. A subcontractor’s application reports work completed and stored to date and the retainage, if any (AIA’s G702S instructions, as of October 2026). In Procore, setting or releasing retainage on a subcontractor invoice is done by an invoice administrator (Procore’s retainage FAQ, as of October 2026).
Invoice Check starts when a vendor-entered invoice is created or updated in Procore. Opening the queue or a record never starts an analysis.
AI reads the PDF or image attached to that exact Procore record, once for each version of the invoice.
Deterministic rules, not AI judgement, compare the invoice number, date, vendor, PO, totals, arithmetic, SOV billed amounts, billing period and duplicates with the live Procore values.
Clear: every required check passed. Not clear: one or more values on the document differ from Procore. Needs review: the attachment or the line alignment is uncertain.
Accept it, push a correction back to Procore, or return it to the vendor. Only one of those actions marks it Reviewed. Write-back is limited to current-period billed amounts on commitment invoices.
Invoice Check works on the pay apps on subcontracts and bills on purchase orders that vendors submit in Procore. See how Invoice Check compares each one with the vendor’s PDF.
Your Procore approval workflow and your payment process stay as they are.
Supplier invoices that arrive by email are a job for Denize for Procore.
Retainage isn’t among its checks. Review retainage and stored materials yourself.
A correction is pushed only when an accountant chooses to, and only for current-period billed amounts on commitment invoices.
Invoice Check is quoted by monthly volume, separately from the Denize AP plans.
No. Procore says an invoice contact has several options for creating an invoice (Procore’s Invite to Bill FAQ, as of October 2026).
Not unless your invoice administrator changes its status to Revise & Resubmit (Procore’s steps for invoice contacts, as of October 2026).
AI reads the document. Deterministic rules do the comparison, so the same document and the same Procore values always give the same result.
Yes. Denize for Procore enters the invoices you receive; Invoice Check verifies the ones your vendors enter themselves. They can be used together or on their own.
