This glossary defines the terms US construction AP teams meet on every pay app and supplier bill. Each entry opens with a short definition, then shows how the term appears on AIA forms, in Procore or in QuickBooks Online, what AP should check, and where Denize fits. Facts about Procore, Intuit and the AIA link to the page they come from, as of October 2026.
The terms behind every progress billing, from the schedule of values to retainage.
A pay application requests payment for progress on a contract, line by line against the schedule of values; a supplier invoice bills for goods or services delivered.
A schedule of values lists a contract’s work as line items with scheduled values that add up to the contract sum; pay apps bill progress against those lines.
G702 is the AIA Application and Certificate for Payment; G703 is its continuation sheet, with one row per schedule-of-values line.
Retainage is the part of each progress payment held back until the work, or a set milestone, is complete, at a rate set by the contract.
Which Procore record a vendor’s cost becomes, and how QuickBooks Online keeps it on the right job.
In Procore, a Direct Cost is a project cost with no purchase order or subcontract behind it; a commitment invoice bills against one.
Job costing in QuickBooks Online records every cost against its project, usually with a Class, item or account as the cost code.
Denize matches each invoice to its purchase order: the PO number printed on the invoice first, then the vendor’s open POs on that project, and never a guess. Receiving documents are not part of the match. How invoice-to-PO matching works.
Lien waivers, W-9s and certificates of insurance are compliance documents rather than AP entries. SubLien, a separate product from SubLien LLC, the company behind Denize, keeps them with each vendor at sublien.com (opens in a new tab).
